Meetings on the fly!

I have a modified version of the GTD with RTM. I'm not hyper-critical about how I use it, but the tags work really well for me. For instance, I use several tags to jot myself notes so that when I'm in certain meetings, I can pull up that smart list and bring up the issues. I usually keep them to a single item per task, so that I don't have to look in the notes fields - although I do keep notes too. The tags I use are @staffmeeting, @churchboard, phone, and some others.

With these tags in place, if I show up to my staff meeting in a hurry, I can pull up all the things that have been collecting during the week to make sure and bring to the meeting. When it comes time to prepare my agenda for the Board Meeting, I simply pull up this smart list and use it to create my agenda.

With these in place, I simply collect ideas, and suitable actionable items, issues to delegate, and anything else - then I place them in the appropriate folder (action, someday, waiting, etc.) and I prioritize them to make sure they are in order of importance. This way I never am at a loss for what to do with my staff! :-)
