Scheduling Daily Workloads
laurence.cua says:
I tend to dump a lot of to dos into RTM and assign them a date in the near future (like 0-5 days away) with the *hope* that I can complete them as quickly as possible.
MY PROBLEM IS DELAYED SCHEDULING
Like most people, I'm usually working off of my Today list. So when I'm about to add a new task and see that Today is pretty full, I sort of arbitrarily throw it into tomorrow or a couple days away. This caused me to overload my task lists for the next day, which makes them impossible to complete. As such, I ended up wasting time each morning or evening postponing and rescheduling tasks rather than spending time actually getting the tasks done.
MY SOLUTION
To help me manage my due dates better, I wanted to see how much tasks I've already dumped into the coming days before committing another task. I observed since using RTM about 6 months ago that I could, on average, work on 20 tasks per day (could be 10, 15, 25 or some other number for other people).
So I set up 7 smart lists with search tag due:[dayofweek] entitled:
20 Monday
20 Tuesday
20 Wednesday
20 Thursday
20 Friday
20 Saturday
10 Sunday (I prefer not to be too productive on Sundays :-)
Using the A Bit Better RTM browser extension, I enabled the Task Count option and, for easier viewing, Tabs on the Left option. Now, with just a quick glance, I get an idea which days of the week are already pretty loaded and which days are still light. For example my current view as of today (Monday) is:
20 Monday (6)
20 Tuesday (17)
20 Wednesday (12)
20 Thursday (14)
20 Friday (15)
20 Saturday (10)
10 Sunday (7)
Looking at this, Wednesday seems light if I wanted to add new urgent tasks. And tomorrow (Tues) seems like a full day already.

ADDITIONAL TIP: I also subscribe to my tasks using Google Calendar so I can get a more holistic view of my RTM to dos with my meetings for the day. This way, I can get a better sense if even twenty may be too much for an upcoming day. Instructions here.
