managing projects of a similar nature.

Do you have work that you need to track and where you follow similar steps to achieve the desired results? I do, and needed a way to input and track projects with between 5 or 10 steps, each with their own requirements. My solution so far is as follows;
To get the projects into rtm properly tagged (I'll explain more shortly) each time without error and as quickly as possible I use my import@rmilk email address.
First In RTM I set up a List with the projects name, I also like to add my clients reference.
I then go into my choice of email client, in my case googlemail and send an email via import@rmilk with the list name in the title, and the body contains something like;

Raise File and acknowledge receipt of instructions today #Computer !1 =5 min
STEP TWO 4 days #car =1 hour !2
STEP THREE !2 #car
STEP FOUR =30mins #Computer !3
Invoice, report and scan #Computer =15 min
etc....

By the way if you use outlook, you can use signatures for this, but if like me you have gone over to googlemail then there is a neat little website at http://projets.geekfg.net/?/1-how+to+insert+html+signature+in+gmail.htm which will let you do the same thing.

I then use smart lists to search for the tags that are relevant to my context for example if I am in the car I have a smart list with the following search (tag:phone AND priority:1) OR (tag:car AND tag:na) which gives me anything in the car and an very urgent calls.

As part of my weekly review I use a couple of fail safe searches such as isTagged:false showing me anything that was added and not tagged and therefore not searchable by my smart lists.

Another thing that I wasn't sure about but is a great motivator is a smart list completedWithin:"1 week of Sunday" AND NOT list:ps-Daily which shows you how much you have achieved that week. which is surprisingly good at getting you motivated.

I do have a lot of lists, too many to be shown as labels at the top of the page and to help with this I use "A Bit Better RTM" which suits me well.

I hope this helps someone.

It is late so if I anything needs more explanation just say.

Oh and from my android phone I can set up a similar input system using a very useful program called inserty.
I also us k-9 email client that lets you send a bcc of a message into the rtm account automatically.

A little off-topic, but I use RTM with a GTD approach and manage all my lists as smart lists. In stead of doing a weekly search for all untagged tasks, I have a smart list "1-Inbox" searching for:

status:incomplete and isRepeating:false and isTagged:false

When I add tasks I do not add tags at the beginning and all my tasks show up in my smart list "1-Inbox". As part of daily work routine I check the Inbox and bulk tag my tasks.
