Pressing "u" edits the URL, but maybe C-S-u or something would navigate to it?

Some tasks require to perform several steps, it doesn't make sense to have following steps in the list.

Some tasks are better performed after some tasks are finised, due to dependencies that may lock or just restrict the possibilities of the subsequent tasks.

It would be nice if a list of "following tasks" could be added to a task, it wouldn't appear in the list, the list would be more compact and easy to check, upon completion the next task would appear.

It could be so easy to do as clicking the task, clicking "depends on" (not yet there) and then the task that should be done before.

(this is specially useful for tasks that do not have a deadline but their temporal dependencies are relative to other tasks)

Have to agree with this. I use Lists as projects and the ability to add a List from the task area would be a lot more efficient than having to switch to Settings all the time. Archive and Delete buttons in the List properties on the right hand side would also be very useful.

Google Calendar sidebar: better to the left?

Only a very small feedback about the new gadget for GCal. Given the GCal look I think that an option to put the sidebar to the left, under "Other Calendars", would be very nice. I use the monthly view, and on a 19" monitor the sidebar on the right takes a lot of room to the calendar. Besides this, I keep the "My calendars" and "Other calendars" menu closed, so I have a lot of room there.

Both are local html files that get their content content from your api and update the local html dynamically (unlike the gmail / igoogle gadget that can get server side update from the web server)...

Using your JSON api would be really useful to do this kind of gadget!

Yes. This is the one missing feature, available in "Things" that keeps me from using RTM more regularly. I don't want to have to look at tasks that I can't even touch for month or two. the same thing with repeating tasks. If I set a task to repeat every Monday, once i complete it on Mondy, I don't want to have to see it again until the following Monday. Otherise the tasks list get unwieldy, I never feel like I've completed anything, and I have to wade through tasks I can't do anything about at the moment.

I love RTM so much, but I think I may have to give it up, because I need to be able to track time for work. I don't need a stop watch - just a way to enter a "start" and "end" time. Tags can be used for clients, so that's already taken care of.

first off, thanks for the great work on RTM. It offers me the kind of flexibility and efficiency a task management tool needs.
The support for other platforms (iphone, android) and offline access have made the choice for the tool quite simple.

I stumbled upon fluid app (for mac) which enables you to create a site specific browser for just about any site you wish to use. I have now created this for gmail and rtm. it works perfectly, both gmail and rtm now seems to be a "real" application on my mac, accessible both on and offline.
i used this icon to place rtm in my doc: real nice. http://tylersticka.com/2009/02/remember-the-milk-favicon-redesigned/

Gmail is more advanced then RTM with fluid app integration in that it standardly shows in the doc the number of unread mails that are in the inbox. I figured this could be a nice option for RTM as well, for example the number of unfinished tasks that are due today or have prio 1, or ...

That would make it easier to maintain smart lists, like a weekend smart list. Presently, it seems impossible to create such a list without adding extra tags like weekend.

But then again, suppose that starting date is added to the task info, how would that work? In a regular list you would see all tasks even though the start date lies in the future (how would you otherwise be able to edit them?) so start dates only work in smart lists. So does sleeper tags.

I suppose there could be a check box "Don't show tasks before their start date", that would solve this in regular lists too.

I know I am not the only one who suffers from accidentally deleting tasks - a problem especially when you have a long list and can't see that additional tasks may be selected but are out of sight at the bottom of the screen. Often if another action is selected it can be too late to hit undo.

My suggestion is that the delete function should simply be reworked to become a move to a tab named "Deleted". Not rocket science I know and nothing that Windows and Outlook doesn't do, but for me this would improve RTM no end in that I would feel safer using the delete function and it doesn't feel like this would be too difficult to implement.

I thoroughly agree with this idea. the one thing that lets the excellent rtm down for me is the inability to have an archive file.
It is often useful in life to be able to refer back to past actions.

One example would be todomatrix for the blackberry, where you can easily store past actions in ideamatrix.

Are there any plans to add such a facility?

I would be willing (as would others I suspect) to pay a little more to store past actions.

The "nearby" query on the Android app is similar in spirit to this -- it queries a real-time, external property, not something contained in your task data.

But you're probably using some industry standard web app database and it's just a batch script. (I suppose it could be tricky during the transition period, though, if you want to avoid downtime.)

Oh, I guess you might be using a different data format for the local copy of the data on the iPhone. Well..

And the local copy of the data on Android?

I know there are plenty of programs for it, but RTM would do a great job, given its magic touch.
It would enhance RTM exponentially if its capability were extended sideways by adding a MEMOS&LISTS capability, allowing to post little reminders, notes, lists that have nothing to do with doing a task by a given date. Having it all in one place would be extremely useful. I know that there are other programs for it, but it does not really help someone who in short time became hooked up onto RTM - it needs to be all integrated.

Shared tasks could be used instead for delegation, but tasks would require an "assignee" attribute to indicate who is responsible for carrying out the task. Shared tasks are editable to completion of course.

Workaround: use a shared task and prepend the task name with the assignee name or tag with the assignee name

I like that too. In fact it's uppermost in my mind just now, doing NaNoWriMo with a word count goal each day. I;ve got that in as a repeating task. I either complete that, or I fail it. I have a recurring need to create duplicate copies of small blocks of tasks with maybe one or two words changed in the new set. Clearly this can be done manually, by re-typing one line at a time - but it would be a lot easier if I could treat an origin block as a template and copy/paste it wherever I wanted.

You could have the header change colour for priority, and add different to the block, like due date, in the location where URL & tags are situated in Evernote. Notes could be the body in Evernote, Name in Evernote could be the task name.

I think a real RTM app needs to happen. With all the awesome APIs released at BlackBerry Developer Conference 2009 there really is not excuse now. RIM has made it much easier to make functional and good looking apps for BB and the new APIs will allow apps to tie into native applications really easily.

If this is really the case then I am sad to say we cannot user RTM. And I just spent all morning playing with it and was all excited about integrating it with our Google Apps calendars....

relative date and time specification relative to only to "now"

This would make it much more convenient to have templated lists to mail in for import for repetitive things (travel checklists for example).

More plastically, I could then create a file like

check passport is valid ^1 month before TRAVELDATE
buy tickets ^2 weeks before TRAVELDATE
check whether ^3 days before TRAVELDATE
etc

Next time I need to set up a travel, I would only need to create a list in RTM, replace "TRAVELDATE" with the actual date and send this to the import e-mail address

While of course it would be even better to have templates inherent in RTM, this would at least allow good templating through e-mail import.

I am looking for a template type list which I can have multiple copies of. See, I am a mortgage processor that works with multiple files at the same time. Everyone of these files will need the same things (ie: paystubs, W2s, license, SS card, appraisal, flood cert, insurance, etc) Also everyone of these files will have similar stages (submitted, wf conditions, wf docs, wf funding, etc) Unfortunately having to create a list for each file for every single step is rather time consuming and frustrating. It would be nice to have a list where I can copy when there is a new file, name it with the new borrower's last name and start the process all over again.
Also, I would be using the list to share with my loan officers as there are steps that they are required to complete (lock the loan, speak with realtors, etc) and steps I am required to complete (get documentation from borrowers, order title work, order insurance and appraisal, etc) However, once this list is completed for a particular borrower, I would want to archive somehow so that way we can track our effectiveness on an individual basis as well as see where our systems can be "tightened"
I have been searching through the forums and all the "template" tags just don't seem to be what I am looking for, template list with 200 or more possible tasks in one list that can be copied and "saved as" new list name so original list remains in tact. I hope there is an option out there or can be created easily as I want to fully utilize RTM but this big part of my life has been difficult to implement thus far.

Several locations

I'm trying to use RTM out of context, but it gets a little confusing when I have to use both lists and locations for context.

The reason why I want the ability to add several locations, just like tags, is because I have a computer both at work and at home. The cold medicine could be bought at both the local pharmacy and the pharmacy close to my subway.

If I can get several locations, I would be able to look up at the "near me" function at my cell phone when I am at a place, and then remember to pick up something.

Especially the tagging (tags and location) is a very powerful feature and that why i still use RTM.

But there are sub-projects within the main projects-lists and combining tasks/subtasks would be very useful. Google Tasks uses indents and that would be enough for me. I don't need the indentation in the smartlists, because it could be a task on my next-action list. The indentation is useful when revieuwing a project list.

It is possible to create a list for each subprojects and archive it, but the list would become enormous

And "strike-throught" to mark a task as done, but to keep it in sight with the other tasks/subtasks.

Just to let you know, I have come back to RTM Pro because it beats all the other Task Apps out there. My original decision to leave my Pro Account was based on the Subtask feature not being forthcoming and an inability to see the wood through the trees. Since then I have done a lot of research into Tagging & Flat Hierachies, a lot of thinking and although it pains me to make such a massive turn around.... The task itself would be colored in other views that use combined lists and are grouped by date (Overview, gmail add-on, igoogle gadget, mobile, etc.). Then each day when I look at my list to do for the day, my errands would stand out as yellow, my deskwork as green, housework another color, reminders could be red, and the recipe for supper that night another color. It would make a long list of tasks not seem so overwhelming and mundane and make it quick and easy to see what you need to do next.

Google Gadget - Add task via single text input support

However, RTM lists currently do not allow the user to sort a list by sequence. They only allow you to sort tasks by priority, due date, and task name. Of course, you can cheat and add prefixes such as “1. ”, “2. ”, etc., but this method makes it hard to insert a task between two tasks, especially if your sequential list is rather long.

I propose that another option be added to the “Sort by…” menu which would allow the user to customize the task order by sequence. This option would be local to a specific list and would have no effect on smart lists.

In GTD terms: Right now, to determine my “next action” in a list, I have to hunt through 20 or more tasks for the next task I should do. Adding this option would allow for “next actions” to be easily identified.

Referring to real time in searches

Now the problem is, there are certain tasks that can only be done on a weekday, when I am at work. There are certain things that can only be done on weekends, because they might require too large a block of time to do on a weekday.

The important thing is, it doesn't matter *which* weekend (or weekday) I do these tasks. These are contexts in the GTD sense. Assigning specific dates to these tasks is just plain wrong, according to GTD.

Now of course I can create a tag called "weekend" that represents the weekend context. But how can I make these tasks only show up in my hotlist on weekends? I don't think there's a way to do it. What we need is a search operator that refers not to fields in the tasks, but to the wall time clock. For example,

tag:weekend and (todayIs:sat or todayIs:sun)

Of course one could imagine being able to query the hour of the day, whether it is am or pm, whether is is day or night, etc. I think the power of smartlists could be increased a great deal with this simple enhancement.

In the help section I found some issue with this, and I was struggling myself to get it fixed. However, as RMT does not recognize message:// as a URL form, it will add http:// in front of it.

This makes it impossible to link to email messages in Apple Mail. There may be other users for non standard URL schemes, (linking to a fileserver document?).

I can probably write up an applescript that can help you get an email into RTM with this link structure.

As much as I can share a vote for Onenote+RTM integration, let me share how I view the different purposes of these apps (this is mainly aimed at the OP).

I see no better software than Onenote to take care of project notes (the "project support material" of David Allen). But I really don't like it for next actions.

What I do is I have a concept of "annexes". On any good tasklisting application you would have a central project list each with their next actions. Each of these projects would get a unique short id tag, e.g. -job-proposaldraft, -hob-planemodel, -bod-homegym (the first three letters stand for the project's area of responsibility, but are really optional). This is pretty much in line with a way to organize RTM's Tag Cloud that I outlined a few years back and has gotten extended with awesome greasemonkey scripts.

Now, this project tag can be referred to in any other support ("annex") applications, such as Onenote. In Onenote I therefore have a notebook called project (or project notes, project support material, etc.) and each section within it is named after a project tag.

Now, the killer feature: I use Launchy and tell it to index my project notebook folder, including *.one files. This way, when I want to consult project notes on Windows, I simply hit alt+spacebar and then type the project tag or only a part of it, and launchy auto-suggests from the whole of my project lists that it has indexed. Hitting enter opens Onenote in the proper section. Extremely nifty.

I absolutely see no need for syncing or even integration, annexes (through a master tag) are way faster and require zero maintenance.

I loved milksync for my blackberry until I ran into all the crashes caused by my repeating tasks (I have lots). I read the forums and blogs and understand it is an issue on RIM's side not RTM's. I tried the work around of changing to "in progress" and saving, then completing... still a pain. It's made using my blackberry's native tasks with RTM not very useful.

So... in the mean time... I'm using the mobile RTM on my blackberry. It's a little tricky for me because I live in an area where mobile data service is spotty. It would be a TREMENDOUS help if RTM could add checkboxes beside the tasks on the mobile version so that more than one task could be completed/ postponed at a time. As it is now, to complete tasks, each task has to load in a new page, then reload the page after clicking complete, then reload another page to go back to my list, and it can take so long in a spotty service area to complete 5 or 6 tasks.

I know you can't fix the issue with the blackberry native tasks but I thought, maybe you could fix this on your mobile site and help us while we wait on RIM and make your mobile site ever so much more efficient.

Hi, I see that there have been some more questions about using RTM as a shopping list. I like RTM, but it's not fitted very well to use as a shopping list. It lacks the option to quickly 'toggle' (complet / uncomplete) items (re-use old taks). Before I used a Windows Mobile HTC P3600 with Handyshopper on it. Despite it lacks 'cloud' functionality it was better fit for a shopping list.

It would also be nice to have some 'smart' behaviour like automatically remembering the order in which items are completed and use the frequency with which items are on te list.

But perhaps this is a to specific use for RTM?

I'm not a fan of Google docs, just because I often work from a laptop with a 3g card and performance is poor to awful. Tags/lists is a lame workaround. I don't think it would be difficult to make the feature ignorable for those who don't want it.

I wish RTM would add a search keyword to enable hiding tasks from a search (or Smart List) if the task has been postponed until after today (or after tomorrow or after next week or more than 7 days from now etc.). The existing "postponed" keyword produces the total number of times the task was posponed, even if made the decision two days ago to click "postpone" two times; I'd like a keyword that produces how far in the future it's postponed compared to today.

For me, the lack of a start date attribute forces me to keep most of my tasks which aren't immediate next actions (ie. someday/maybe tasks and future project tasks) offline in a master projects list on my desktop. Having this separate list is a real inconvenience since I have to be constantly checking it to see if there are tasks which are actionable and ready to be imported into RTM. A start date (or conditional start) feature would really help me in keeping a unified GTD system.

While there is a great Gcal workaround, it's too roundabout to imagine all new RTM users to set that up, and in the meantime the inadequate flexibility in the current reminder system is surely not helping to win any new users over.

Now that the multi-edit UI issues have been addressed here, I think that reminders may very well be the leading open issue in terms of site functionality here at RTM.

While due date is great, there are some times I want to see something on my daily list before it is actually due. One example is for real estate taxes, they are due the 15th of Oct, but obviously I want that paid before the due date. While I could set the due date earlier, that isn't an accurate deadline either. In this example I could set the start date of Oct 1st and a due date of Oct 15th.

I use RTM to institute GTD. In doing this, I create a new list for every project. For each project I make a descriptive task with .. in front of it to bring it to the top, then I number everything after that, so when I brainstorm steps I can see where it fits and what previous things it depends on. RTM, instead of ordering numerically, orders alphabetically, which throws my lists into chaos and disarray. Having to look at:
1. Call X
10. Put in evelope
11. Send to Bank
2. Set up meeting.

To my knowledge there is no way to associate tasks with other tasks so why use a tertiary level when the secondary would do?

I liken this type of markup to that of HAML or SASS where children are taking on the attributes of their parents. Under this scheme, we could theoretically add another tag and utilize the third level.

e.g.:
#@home ^today
[tab] Fix the clogged sink.
[tab] Install new curtain hardware.
[tab][tab] #maintenance
[tab][tab][tab] The current drywall anchors I have won't do. Need to use the special concrete toggles.

In this case the task `The current drywall anchors ...` would have the tags `@home` and be due today as well as the additional tag `maintenance`.

Add ability to do simple report on completed tasks

I have started using RTM to keep track of my tasks at work. I would very much like the ability to create a report on tasks that I've completed. Something that just organizes the completed tasks by completion date that I can print out and hand to my manager.

It would be cool if you could incorporate some of the task details into the report ( like the notes ). I use notes to keep track of the resolution details for the task so if those could be included that would be great.

This may be getting beyond what this tool was designed for though!

Also it would be nice if it were easier to see/find completed tasks in general.. Maybe make it an option to bring them to more prominence in the UI. I figured out how to search for completed tasks, it just took me a while to find it.

I know life can get really busy and as a corporate mom, things can get lost in the frey. Just last week, I missed an appointment because life got a little too crazy. Another good to do application is "The Hit List." I actually really like the interface and ease of use. I definitely think there should be a RTM native app. Applications like Fluid are buggy and I've had a lot of hit or misses with other web-based applications. I know there is a keyboard shortcut to cycle through the lists and Smart Lists -- CTRL/SHIFT/Left to cycle to the left; CTRL/SHIFT/Right to cycle to the right. I'd like to see a shortcut that allows you to enter the list or Smart List name to go to that list. Something like typing the characters gl, then a text box would pop up to allow you to enter the list name with autocomplete suggestions. This is similar to the keyboard shortcut to go to a label in Gmail. Could be a time saver if there are a lot of lists and Smart Lists.

couldn't agree more. I've been following Things and Appigo's Todo for the iPhone. I went with Todo due to syncing with RTM. When Things was trying to figure out how to accomplish sync between the desktop and iPhone I couldn't believe that they just didn't jump on board with RTM and go that way.

We'd then have the best combination of beautiful, easy to use desktop app with all the power and convience of having our data in the cloud on RTM.

My request is brought on by the fact that I have adopted the RTM in both my personal and professional lives.

Because I depend on my RTM reminders due to a very gnat like attention span, I would love to be able to have reminders sent to different locations based on their respective lists.

For instance, I would like to keep my personal notifications from being emailed to my work email (since my coworkers don't need to know that I have forgotten a prescription or have an upcoming deadline for a side contract :P ) and I don't need to get my work reminders in my personal communications.

Personally I see this as a logical extension of the excellent system already in place.

These could all be parts of the larger application task that could be completed, but as you do it would track your progress (33% for each of the smaller tasks for example).

Yeah, but it's not exactly the most efficient way of doing it. That method would assume that people have a desktop email client to tap into, which I personally don't like to use. Building an actual QSB plugin would be MUCH easier to use once it's created.

Just in case people are curious, I have been working on this. Had to teach myself Python to do it, but I am about 90% there. Having some trouble with the auth right now, but once my comment gets approved on the API mailing list (*cough*seriously-it's-been-2-days*cough*) I should *hopefully* get that bug worked out. Once I get it working, it will be open sourced so people can clean up my amateur python code, and possibly add new features to it.

But god damn it, I was tired of waiting.

It seems like it could be implemented without much effort since their system is already checking tasks every minute. Possibilities would be endless. It would greatly streamline much of the things I do with RTM. The implementation could start simple with events just happening on adding and editing of a task.

Is mark a task complete WHEN I EMAIL IT IN to my RTM.

I've started using RTM to track the things I'm doing at work, and often I email in a task from my work email so the email body is in as a note. However, lots of times, I've already finished whatever I had to do when I email it in. I'd love to add something like status:complete so I don't have to take the extra step to go into RTM and mark it complete.

Again, if there is someone who is more adept at either Objective C, or Python than me, or someone who has actually gotten the auth to work via Applescript, let me know. I have been pecking at it here and there, but no luck.

Or if anyone knows a way to (instead of using the auth token), send a username / password to RTM, QSB has a built in accounts manager, so we could use that.
